PRIVACY NOTICE
(Why I collect your personal data and what we do with it)

When you supply your personal details to this clinic they are stored and processed for 4 reasons (the bits in bold are the relevant terms used in the General Data Protection Regulation – ie the law):

  1. I need to collect personal information about your health in order to provide you with the best possible treatment. Your requesting treatment and my agreement to provide that care constitutes a contract. You can, of course, refuse to provide the information, but if you were to do that I would not be able to provide treatment.
  2. I have a “Legitimate Interest” in collecting that information because without it I cannot do my job effectively and safely.
  3. I also think that it is important that I can contact you in order to confirm your appointments with me or to update you on matters related to your medical care. This again constitutes “Legitimate Interest”, but this time it is your legitimate interest.
  4. Provided I have your consent, I may occasionally send you general health information in the form of articles, advice or newsletters. You may withdraw this consent at any time – just let me know by any convenient method.

I have a legal obligation to retain your records for 8 years after your most recent appointment (or age 25, if this is longer), but after this period you can ask us to delete your records if you wish. Otherwise, I will retain your records indefinitely in order that I can provide you with the best possible care should you need to see ME at some future date.

Your records are stored electronically (“in the cloud”), using a specialist medical records service. This provider has given me their assurances that they are fully compliant with the General Data Protection Regulations. Access to this data is password protected, and the passwords are changed regularly.

We will never share your data with anyone who does not need access without your written consent. Only the following people/agencies will have routine access to your data:

  • The medical records service that store and process our files
  • Me, in order that I can provide you with treatment

You have the right to see what personal data of yours I hold, and you can also ask me to correct any factual errors. Provided the legal minimum period has elapsed, you can also ask me to erase your records.

I want you to be absolutely confident that I’m treating your personal data responsibly, and that I’m doing everything I can to make sure that the only people who can access that data have a genuine need to do so.

Of course, if you feel that I’m mishandling your personal data in some way, you have the right to complain. Complaints need to be sent to what is referred to in the jargon as the “Data Controller”. Here are the details you need for that:

If you are not satisfied with my response, then you have the right to raise the matter with the Information Commissioner’s Office. Important, please read before proceeding.

What has become evident during the pandemic is that the higher peoples vitamin D levels, the less severe disease they have. A healthy lifestyle is paramount to good health, trying to eat at least 5 portions of fruit and vegetables a day and a couple of litres of water, not based on tea, coffee or fizzy drinks. Minimal alcohol and reducing smoking, always difficult to do but it does lead to better health. A good nights sleep and trying to have a positive mental outlook as well as moderate exercise are also important to health, as is good relations with your friends and loved ones.

To be able to treat the people who are finding it necessary to visit us, and to protect you, and me, from cross infection of Covid-19 we have to follow Public Health England, government, our regulators and insurers advice and guidance.

At this point I feel it important to add that what always has been and always will be the best defence against disease is health, which for a small group of people, is not possible.

This means that the clinic experience that you have previously known has had to change.

  • I will contact you by email or text during the day before or on the day of your treatment to ask you some screening questions, without going through this process I cannot offer you an appointment.
  • I can no longer have people sitting in the waiting room, so please wait in your car until the time of your appointment.
  • Currently, I cannot allow access to the on site toilets for patients or clinic visitors.
  • On entering you will need to disinfect your hands and don your face mask.
  • Both the reception area and the treatment room will have been disinfected and aerated between each patient.
  • Please do not bring anything such as coats and bags into the clinic.
  • Please set up your phone to make contactless payments if you can.
  • I will be dressed differently to normal as I have to work within the 2m social distancing area, wearing PPE and scrubs will be my new normal.
  • By using the pre-screening protocol and wearing appropriate PPE is supposed to reduce the risk as much as possible but does not make it risk free, be sure you are happy to accept this risk before you visit me. This may depend on your own personal circumstances such as your own vulnerability or that of someone you live with or are in close contact with.
  • As soon as payment has been made I have to ask you to leave the clinic so we can disinfect ready for the next patient.
  • Please make sure you arrive on time.
  • If you arrive late it will mean I cannot see you, please do not be offended as I have to run to these guidelines and disinfection protocols very strictly.
  • If I cannot see you due to arriving late for your appointment you will be charged for the appointment.
  • Missed appointments will be charged for.

I apologise for all this rigmarole and hopefully, a more normal service will resume at some point in the not too distant future.
